Why Patient Intake Matters So Much
Patient intake is the foundation of a clean revenue cycle. Errors made at registration โ wrong insurance, misspelled names, incorrect DOB โ propagate downstream into claim rejections, billing disputes, and patient frustration. Getting intake right the first time prevents dozens of problems.
Digital Intake vs. Paper Forms
Paper intake forms are inefficient, error-prone, and HIPAA-challenging (where do they go after? who had access?). Digital intake via patient portal, text-to-form, or kiosk:
- Eliminates transcription errors (data goes directly to EHR)
- Can be completed before the visit, saving waiting room time
- Is more HIPAA-compliant (encrypted, access-controlled)
- Integrates directly with your billing system
What to Collect at Intake
At minimum: full legal name, DOB, SSN (optional but useful for billing), address, primary and secondary insurance, emergency contact, primary care provider, reason for visit, and signed consent forms. For new patients, add complete health history.
How VMAs Improve the Intake Process
A VMA can:
- Send digital intake forms 48 hours before the appointment
- Follow up with patients who haven't completed forms
- Review completed forms for errors or missing information before the visit
- Verify insurance based on intake information same day
- Update the EHR with all intake data before the patient arrives
